We collect information you provide directly when signing up or using our service:

• Business name, contact name, and email address
• Google Business Profile URLs for locations you ask us to manage
• Billing information processed securely through Stripe — we never store card numbers
• Brand preferences, tone preferences, and any instructions you provide
• Communications between you and our team

We also collect limited technical data including IP address, browser type, and pages visited to improve our service and diagnose issues.

How we use your information

We use the information we collect to:

• Deliver and improve our Google review reply service
• Communicate with you about your account and service updates
• Process payments through Stripe
• Generate review replies that match your business's tone and voice
• Send monthly analytics reports
• Comply with legal obligations

We do not sell your personal information to third parties. We do not use your data for advertising purposes.

Google Business Profile access

When you add us as a Manager on your Google Business Profile, we gain the ability to respond to reviews on your behalf. We do not have access to your Google account password, payment methods, or any data outside of your Business Profile.

You can remove our access at any time through your Google Business Profile settings. Removing access does not automatically cancel your ReplyCo subscription — please contact us separately to cancel.

We use your Business Profile data solely to respond to reviews. We do not share this data with third parties.

Data storage and security

Your data is stored securely using industry-standard encryption. We use the following third-party services to operate our business:

• Stripe — payment processing
• Google — Business Profile management
• Make.com — workflow automation
• Airtable — client data management

Each of these services maintains their own privacy and security standards. We recommend reviewing their privacy policies for full details.

Data retention

We retain your information for as long as your account is active or as needed to provide services. If you cancel your account, we will delete your personal data within 30 days upon request, except where we are required to retain it for legal or financial compliance purposes.

Your rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Opt out of non-essential communications
• Cancel your subscription at any time with no penalty
